Terms & Conditions

GENERAL

A non-refundable booking fee of 50% of the total package price is required to secure the event date, subject to the package selected.

The remaining balance shall be payable no later than 48 hours prior to the wedding or event date.

No images, previews, or final deliverables will be released until all outstanding amounts have been paid in full. Payments received after the event may extend the standard delivery timeframe at the discretion of Patrick Jay Photography.

Clients may not downgrade their selected package. Any request to do so shall constitute a cancellation of the original agreement and shall be subject to applicable cancellation fees.

Clients shall have 4 weeks from the date of delivery of the final images to raise any concerns or request reasonable amendments.

All RAW files and unedited materials will be permanently deleted 1 month after delivery of the final product.

Travel will be charged at R4.50 per kilometre. Each package includes a predetermined travel allowance; any additional distance will be invoiced accordingly.

Accommodation expenses may be added to the quotation where reasonably necessary due to location, duration, or travel requirements.

While all equipment is maintained and serviced regularly, Patrick Jay Photography shall not be held liable for loss of data or images arising from equipment failure beyond reasonable control.

Patrick Jay Photography shall not be held liable for loss of data resulting from hijacking, theft, or any crime-related incident occurring during transit to or from the event.

In the event that the photographer is unable to perform contractual duties due to death, severe injury, or serious illness, reasonable efforts will be made to secure a suitable replacement. If no replacement can be secured, all monies paid shall be refunded in full within 48 hours of the scheduled event.

PHOTOGRAPHY

Sneak-peek images will be provided within 10 working days following the event.

Delivery of the full wedding gallery shall occur within 2–3 months, subject to potential delays during peak season.

Engagement or lifestyle sessions shall be delivered within 2–3 weeks following the session date.

Complimentary engagement sessions not utilised prior to the wedding date are not transferable, redeemable, or exchangeable for any other session after the wedding.

It is the responsibility of the client to provide a complete list of required family and group photographs prior to or on the day of the event. Patrick Jay Photography shall not be held responsible for omissions where no such list has been provided.

Patrick Jay Photography shall not be responsible for missed photo combinations resulting from interference by guests, environmental restrictions, or delays outside of reasonable control.

CANCELLATIONS / ACTS OF GOD

In the event that the wedding or event must be postponed due to government-mandated restrictions (including but not limited to lockdowns), Patrick Jay Photography will make every reasonable effort to accommodate the new date, subject to availability.

Postponements initiated for reasons unrelated to Acts of God or government regulations will be assessed on a case-by-case basis. Should the postponement be deemed unjustified, the booking fee may be forfeited.

Postponements rescheduled into a subsequent financial year shall be subject to the pricing applicable in that new financial year.

Cancellations by the client will result in forfeiture of the booking fee. Cancellations made less than 6 months prior to the wedding date may incur an additional cancellation fee of up to 70% of the total package value.

If the photographer is unable to fulfil the agreement due to illness or personal emergency, Patrick Jay Photography will assume responsibility for sourcing a suitably qualified replacement. If no replacement is available, the client shall receive a full refund of all monies paid.

DIETARY NEEDS

The client shall provide one meal for each photographer present for more than 6 consecutive hours on the wedding day or event.

The client shall provide reserved seating for all photographers assigned to cover the event, ensuring that they remain reasonably close to the main reception area for operational purposes.
